Define the timing
State when the goods will actually be ready and when they must arrive. Include the receiving site’s opening hours and any strict cut-off. A route can look short on a map but still be impractical if either handover is uncertain.
Describe the consignment
Provide quantities, dimensions, weights and handling needs. Ordinary cartons and specialist equipment cannot always use the same vehicle or loading process. Flag restricted or unusual goods before requesting a price.
Agree the service
Ask whether the delivery is a direct journey or part of another route, and what communication is included. Confirm collection and delivery contacts, access instructions and any proof-of-delivery requirements. Make sure the person receiving it knows what to expect.
Keep an exception plan
